Position Purpose: The Association Portfolio Manager must believe in, practice and initiate all Green Brick Partners values set forth in an acronym we call HOME. They must be Honest, Objective, Mature and Efficient in how he or she approaches their role at Green Brick Partners.

 

The Association Portfolio Manager's role is to effectively manage and successfully execute the day-to-day business of a portfolio of Associations in accordance with company policy, procedure, and current law - and to provide leadership to the Board of Directors, encouraging Board decisions which reflect consideration to the impact to property values and long-term community preservation.

Responsibilities

  • Serves as a consultant to the Board of Directors in financial management, administration, policies and procedures, property infrastructure, organization, litigation processes, property collections, maintenance, and mechanical procedures and homeowner disputes
  • Works directly with community developer and builders to establish operational infrastructure of the Association during community development
  • Partners with community developer on advisory committee recruitment efforts and facilitates formation of advisory committee during community development period
  • Serves as the liaison for accepting common area installs upon completion from developer
  • Serves as the liaison for accepting townhome buildings upon completion from builder
  • Evaluates quality of services provided to the Association and sources solutions for an improved service experience
  • Conducts monthly property inspection of community common areas, amenities, and lots to facilitate compliance enforcement action, identify service discrepancies and identify any repair/replacement needs
  • Acts as intermediary with owner/residents and all other staff to assist in prompt response to questions/problems
  • Assist Board of Directors/ACC with the architectural review process
  • Monitor homeowner delinquency rates and ensure accounts are processing through the established collection process
  • Develops and disseminates community updates and homeowner education communication pieces via mass email
  • Organize and co-lead Board meetings and annual meetings with the Board of Directors per the management agreement and governing document requirements
  • Prepares board meeting and annual meeting packets and associated PowerPoint presentations
  • Prepares monthly management reports for delivery to Board of Directors according to established time frames and with prescribed templates
  • Responsible for routine and special project vendor management including procurement as well as performance evaluation as contracted
  • Monitor Association financials including yearly budgets, monthly income statements and balance sheet
  • Prepares monthly budget variance report and annual Association budget for review and discussion with Board of Directors

 

Authority/Budget/Decision Making/Discretion and Independent Judgment Ability: This position carries the need for critical thinking on operational processes, decision making and the creation of best practices.  A high level of review and vetting of information.

Qualifications

Education

  • Bachelors and/or industry certifications

Experience

  • Prior property management experience preferred

Competencies

  • Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level
  • Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level
  • Knowledge of conflict resolution techniques at a proficient level
  • Professional communication skills (phone, interpersonal, written, verbal, etc.)
  • Professional customer service skills
  • Self-motivated, proactive, resourceful, detail-oriented and collaborative
  • Time-critical prioritization skills

Physical Requirements: Ability to stand and walk for 4 hours straight or up to a full 8-hour day; sit for extended periods; kneel and bend at the waist; walk up and down stairs; walk on unlevel terrain; use hands to finger, handle or feel; reach with hands and arms; talk and hear.  Ability to lift and/or move up to 25 pounds.  Specific vision ability required by this job include close vision, distance vision, color vision and peripheral vision.
